The British Standards Institution (BSI) has been selected to deliver an EU-funded technical assistance project with the Egyptian Ministry of Trade & Industry as the main project beneficiary.
The project aims to assist the Ministry of Trade & Industry in the implementation and execution of key policy reforms in particular in the field of quality infrastructure and industrial development. For this project, we are looking for one Project Assistant.
Project Assistant Tasks:
The project assistant will work under the direct supervision of the Local Project Manager to facilitate the implementation of the project and will, in particular:
• Assist the Team in the establishment of appropriate working relationships with relevant officials of the Government of Egypt, high-level public servants (project beneficiaries and stakeholders) and officers of the EU Delegation;
• Support the Team in coordinating and delivering activities, meetings and visibility events;
• Participate and take minutes of meetings;
• Provide administrative and logistical support to project experts;
• Produce and control project documentation and secretarial work (e.g. approval procedures and timesheet preparation);
• Manage Project Office assets and inventory including the management of purchase plans, undertaking inventory of stock etc.
• Negotiate contracts with local suppliers (hotels, venues, travel agencies, equipment…);
• Support the project team for translation / interpretation ( If necessary ) Undertake any action deemed necessary to ensure that project administration runs smoothly towards set technical objectives and according to EU rules and regulations.
• Support for the preparation and delivery of working activities as foreseen in the Contract, including organization of training sessions, conferences, etc. and in related administrative tasks
• Performing of necessary office and office management tasks, including record keeping of the
Office expenses (petty cash), contracting of service providers, payments of local invoices, etc.
• Making travel arrangements and arrange meetings for the team involved in the project;
• Assisting in identifying, contracting and monitoring of local services as required (e.g. for
project visibility matters, translation, printing)
• Flexibility regarding working time and business trips
• Maintain records on all project personnel/national consultants and their respective status (contracts, ToRs, time and attendance – if appropriate, etc.) in accordance with accepted policies and procedures;
• Assume overall responsibility for administrative matters of a more general nature, such as registry and maintenance of project files and records
Qualifications and Experience:
Applicants should possess the following:
• University degree or equivalent qualification in Public Administration, Management or any other discipline relevant for the position
• At least 3 years of professional experience, preferably in project management or secretarial work in cooperation development
• Experience in donor-funded projects
• Highly professional
• Organisational and communication skills
• Fluency in written and spoken Arabic and English Command of Microsoft Office
• Good interpersonal skills; ability to work in a multi-cultural, multi-ethnic environment with sensitivity and respect for diversity
• Strong sense of initiative and responsibility;
• Good computer skills, including MS applications (Word, Excel, Outlook and Power Point);
• Ability to work in an international team.
Contract Term:
Full time contract for 12 months starting in July 2016.
