Provision of OA manager services like tendering, budget preparation, organizing board meeting, annual general assembly, collection of service charges, vendor management, writing board resolutions and communicating with board and owners.
Ensuring compliance with JOP Law and Directions. Enforcing the owners association’s JOPD, Community Rules and adopted resolutions.
Working closely with the Board Members of the Owners Association, preparing agenda for general assembly and board meeting and documenting minutes of meetings.
Preparation of service charges budget for communities in Dubai and getting them approved from RERA.
Working closely with facilities management contractors to effectively manage assets owned by OA for the collective benefit of owners. Procure, tender and recommend service providers to the Board for evaluation and selection.
Oversee insurance of the building while insuring strata cover and processing documentation of insurance claims.
Develop and publish community rules, move in/out forms, NOC procedures and other related documents
Preparing and posting monthly, quarterly or yearly management reports on community portal
Issuing notices to defaulters as per collection policy approved by OA Board.
Facilitating statutory annual audit, liaise with external auditor and Financial Sub-committee for audit
Presentation of financial data in Annual General Meetings and getting audited financials and budgets approved
Opening and operating Escrow Account on behalf of Owners Association
Preparing month end Financial Statements for five Owners Association Boards
Monthly reporting budget to actual variance monthly, quarterly and yearly basis
Approve payments against AMC and other expenses and checking the adequacy of documentation to adhere to payment policy
Setting collection targets for debt collection department
Calling up owners for dispute resolution regarding service charges including rescheduling of service charge payments as per board instructions
Sending reminders for collection of service charges
Coordinating with debt collection agency in meeting collection targets
Filing cases in SCT to recover service charges from Defaulters
Invoicing service charges on quarterly basis for all Owners Associations Preparing action plan in case of new building take over
