The Manager – Planning has a broad project planning role across all assigned Functional Areas being delivered through the Programming Department. The person will predominantly be managing the project lifecycle with internal stakeholders, Project leads and support departments (namely Finance, Procurement, Contracts, Legal and Governance) from the scheduling, coordination, administration and reconciliation. The person will also play an important role in ensuring the Programming Department suppliers and systems work efficiently and provide meaningful reporting to line management. The main responsibilites of the role include: - Ensure that the visitor is at the heart of the delivery of all programming, monitor and report progress against planning milestones to ensure effective and efficient delivery by the Programming Department; - Advise on and facilitate compliance with Expo relevant policies and procedures as well as provide programme management support at the departmental level in order to manage the portfolio of projects in order to ensure the projects are executed within the timelines, costs and quality expected; - Assist with the departmental risk and issue register, in line with Expo wide risk management, ssist in the departmental workforce plan, ssist inthe continual and up to date adherence to Expo policies, procedures and frameworks; - Support with planning, budgeting, recruitment and leadership in the team; and any other prioritised requests alongwith that communicate Governance, Contracts, Procurement and Finance policies, processes, procedures to internal team members as and when required; - Support Project leads in the research of vendors that facilitate the full scope and capability of the assigned Functional Area of Programming Department abd oversee the onboarding of vendors based on the budgetary thresholds as defined by the business in conjunction with the Support Departments; - In conjunction with the Project Lead, regularly monitor and track Project Budget vs Actual vs Forecast, ensure accuracy of assigned project codes for Project Month End reports provided by Finance and ensure all documentation and information related to assigned Projects must be completed and accurate before uploading onto the ERP /SAP system; - Project lead to be pro-active in ensuring actions are completed by appointed Budget Holders and Project lead to coordinate with suppliers for follow up with invoices/quotations / 3rd party confirmations; - Flexibility to work late and if required on the weekend in the lead up to and on-site in the Organisers / Production Office during the assigned project. The purpose will be to process any variations and additional items being ordered onsite so that these can be processed in a timely manner.
المهارات
6+ years’ experience in the events industry, as well as:
- A Bachelor’s Degree within a relevant field and Autocad Certified;
- Excellent data management and data entry skills, speed and accuracy;
- Experience in the UAE gaining knowledge and understanding of local rules and regulations as it pertains to events;
- Ability to work to tight deadlines;
- Ability to learn new systems and expand role.
