Executive Admin cum HR
Job Description and Responsibilities:
• Preparing offer letters, contracts, memorandum of understanding, fee proposals, and quotations.
• Filtering the call and taking details/concerns before transferring to the respective staff or to the Managing Director.
• Assume the role as the primary point of contact between the executives and internal/external clients.
• Maintain a daily electronic journal, arrange meetings and appointments and provide reminders as needed; maintain a master corporate calendar of all conferences, all-hands events, holidays, and vacations.
• Handle requests, feedback, and queries quickly and professionally.
• Take dictation and meeting minutes, accurately enter notes and distribute
• Monitor office supply levels; reorder when appropriate.
• Maintain strong relationships with vendors and keep price data in order to get the best pricing on supplies and services.
• Produce professional-quality reports, presentations, and briefs.
• Develop and carry out an efficient documentation and filing system for both paper and electronic records.
• Assisting staff with matrices such as work program, material specification matrix, letters, fee proposal, reports, and presentations that need to be encoded and fixed.
• In charge of securing quotations in each and every service and office material needed; preparing Local Purchase Order (LPO).
• Preparing and updating Admin reports such as Employee Timesheets, Time-off Summary and all other related matrices on a weekly/monthly basis.
• Responsible for the daily/monthly schedule of the Managing Director which includes event registrations and invitation confirmations.
• Responsible for Sourcing, Recruitment, Selection, Onboarding & off boarding.
• Assist in developing, implementing, updating HR policies and procedures throughout the organization.
• End-to-end Visa processing – New visa, Renewals & Cancellations.
• Renewals – Trade License, Tenancy Contract, AMC.
• Renewal of medical insurance, professional indemnity.
• Maintaining general office files, including job files, vendor files, and other files related to the company’s operations.
• Handling all Utility bills and Keeping track records of payments.
• Handling petty cash and other accounting services including VAT calculation and filing in Federal Tax Authority.
Qualification and Skills:
• Bachelor degree in Business Management or equal.
• 2 years UAE experience as an Executive Admin position or in other secretarial positions. Fresher’s can also apply.
• Excellent communication skills in English. Arabic is an advantage.
• ISO knowledge is a bonus.
• Familiar with HR Software and MS Office suit.
• Excellent written and verbal communication skills (writing letters emails correspondence and contract agreements.)
• Sound knowledge in UAE Labor law.
