الوصف الوظيفي Design & Project Administrator provide both clerical and administrative support to Retail Store Development Team for Project Implementation & Design Team. Coordination and compilation of project related data from RSD team and other Stake holders. Involve in coordination and implementation of Office procedures and frequently have responsibility of specific projects and tasks and, in some cases, coordinate the work of the General Manager and rest of the team Key Accountabilities Archiving & Filling Using Content Management Systems to maintain and update internal data base with regards to o Architectural & MEP Fit Out Drawings o Legal Contracts o 3rd Party Drawings & Quotations o Site Specific Documentation i.e. Variations o Minutes of Meetings o General Communications o CAPEX spend o H&S;documentation o Schedule of Works Legal Contracts Produce Legal Documentation for Project i.e. Architectural / MEP / Fit Out Contractors Maintain and administrate key 3rd party accounts i.e. quotations / invoice submissions and payments Receive Fit Out Quotations from QS & Design quotations from Design Managers complying Group Procurement Policy Seek Fit Out Quotation approvals in conjunction with Design Managers / Project Implementation Managers and General Manager Store Development Approved quotation submitted to Brand Finance for PO issuance and obtain PO, share with vendor Receive 3rd party invoices, administrate internal payment procedures, follow up on payments and maintain records Inform the vendor about payment release 8. Maintain electronic format of Quote / PO / Invoice under respective folder in Finance of each project for quick reference General Office Support 3rd Party Communication i.e. Letter Writing Dealing with Telephone and E-mail queries Creating and maintaining Filing Systems Deal with 3rd party suppliers and manufacturers Efficiently maintain Project Implementation Office Communication with external stakeholders Project Implementation Report Prepare report of CAPEX of all projects Compile Project Implementation Report upon completion of project within 5 weeks’ time Online System Support GIAMS Ariba P2P Project Cost Analysis Reports Cost Tracker Finalization Preparation of Office Budget المهارات Education: Proficient in business administration, skilled in MS Office Minimum Experience and Knowledge: Minimum two years’ experience working in a Design / Construction / Project Management Office Environment Job-Specific Skills: Constant communication with various stakeholders as well as 3rd parties, a strong level of negotiation and command is required. Your planning and organizing skills will be second to none as well as your ability to use your initiative with regards to maintaining filling systems and records.
