Hiring Executive Administrative Assistant (Female)
Responsibilities:
• Calendar Management: Efficiently manage executive calendars, scheduling meetings, appointments, and conference calls. Coordinate with various stakeholders to ensure optimal time management for executives.
• Quotation Making: Assist in preparing and generating accurate quotations for our customers, ensuring competitive pricing and compliance with company policies.
• Customer Call Support: Provide exceptional customer service by handling customer calls and inquiries promptly and professionally. Address customer concerns and direct calls to the appropriate departments as necessary.
• Sales Support: Collaborate with the sales team to assist in various sales-related activities, including lead follow-ups, order processing, and customer relationship management.
• Tender Participation: Coordinate and manage the tender participation process, ensuring all necessary documentation and requirements are met within specified deadlines.
• Managing Inquiries: Handle and respond to inquiries from potential customers, partners, and vendors, providing them with the necessary information and directing them to the appropriate contacts.
• Office Management: Oversee general office operations, including supplies inventory, maintenance requests, and vendor coordination, to ensure a well-organized and efficient workplace.
• Document Management: Organize and maintain physical and electronic files, records, and documents, ensuring easy access and proper version control for the executive team.
• Confidentiality: Demonstrate the utmost discretion and confidentiality in handling sensitive information and executive communications.
Requirements:
• Minimum of 2-3 years of experience in a similar roles within the UAE market.
• Proven experience as an Executive Administrative Assistant or similar role, preferably in a fast-paced corporate environment.
• Strong organizational skills, with the ability to prioritize tasks effectively and handle multiple responsibilities simultaneously.
• Excellent communication skills, both verbal and written, with acute attention to detail.
• Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) and experience with document management systems.
• Customer-centric mindset with a passion for delivering exceptional service and support.
• Ability to participate in tender processes and understand tender requirements is a plus.
• Bachelor’s degree in Business Administration, Management, or a related field (preferred).
