Concept Review and Presentation Preparation
(Walk in or Phone in Inquiries) Orient operators of the process of submission not limited to requirements and documents for submission;
(Correspondence and/or meeting) Orient operators of the process of submission not limited to requirements and documents for submission;
Accepts concept submission from various operators ensuring complete submission ;
Concept presentation to include menu with prices; branding - logo, uniform, packaging; look and feel of design both interior and exterior; square meterage requirement; If concept is an original concept, would operator be willing to have the concept exclusive to Katara, Qatar for at least 5 years, copy of signed franchise agreement, number of outlets in Doha and worldwide, current locations, copy of Commercial Registration (CR), copy of QID of owner listed in CR, company profile of owning company, if it is an individual owning the concept, the CV of the owner, Contact details of contact person. We provide a sample presentation to the Operators for their convenience.
Review presentation of concepts including submitted requirements; if incomplete, correspond with the operator on missing documents setting a deadline for submission; Follow up as necessary ;
Prepare summary page of the concept for management’s review attaching presentation and relevant documents submitted;
Update master list encoding all information required;
Do the needful follow thru after management’s review updating operators of status i.e. approval, rejection, more information needed, events etc.
Should concept be approved, proceed on doing the following. All steps stipulated below required correspondences with operators:
Conduct Site Visit with operator
Facilitate scheduling of Food Tasting with Operator and culinary team / operations.
Consolidate required documents in preparation with the issuance of the Head of terms / Contract.
Liaise with Business Affairs for the issuance of Head of Terms.
Secure signature of operator for HOT including required reservation cheques submissions.
Prepare and transmit relevant drawings and require operator for further submissions :
-Equipment list and power requirement
-Kitchen equipment layout
-Interior and exterior renders
-Full branding and uniform design
-Organizational chart and CVs of key employees
-Full menu including indicative prices and design
Conduct regular meetings with the operators to ensure submissions are in line with the direction of management;
Transmit thru official correspondences the approvals or rejections of the operators’ submissions;
Follow up with operators as necessary
Should concept be rejected, prepare the rejection correspondence for transmittal to the operator;
Should concept require more information from management, correspond officially to operators. Follow thru on submission and relay submitted documents to management;
Should concept be for event; prepare the events correspondence for transmittal to operator. Ensure that concept has passed the food tasting stage.

Pre-opening of Approved Concept (Third Party Operator)
Keeps track of timelines and milestones as stipulated in contract/ HOT;
Request the Operators to send us the Company profile of their appointed Consultant and Construction Contractor for our review and comments.
Liaise with the operator and relevant parties the approved drawings for preparation of technical submission;
Ensure that drawings are reviewed by engineering team and are signed off;
Release official correspondence to operators on status of technical submissions;
Ensure that the pre-opening requirements and deliverables are approved by our Management.
Official correspondence is to be released to the operator;
Liaise with operators on the approvals for samples of materials, mock-ups etc. Ensure that outlet receives relevant government approvals on all stages of pre opening and copies are circulated and kept for references;
Briefs operators with regulations of landlord and connects them with the Mosanada for facilities management’s requirements on PTW, House Rules etc.;
Conduct site inspection to ensure that operators are following rules and regulations of landlord;
Documents status of construction thru release of progress photos on a weekly basis;
As necessary, prepare official correspondences in relation to relevant issues of each projects with various shareholders ;
Prepares minutes of meeting as necessary throughout the whole project stage.
Pre-opening of Approved Concept (Projects)
Keeps track of timelines and milestones as stipulated in contract; Liaise with the technical engineering team for the approved drawings;
Ensure that drawings are reviewed by engineering team and are signed off ; Facilitates and prepares PRFs for the facilitation of contracts
Coordinates with Business Affairs by supplying documents needed for contract issuance;
Prepares and facilitates technical and commercial evaluations
Release official correspondence on status of technical submissions with various contractors and internal shareholders
Ensure that pre-opening requirements and deliverables are according to the ones approved by management. Release official correspondence as necessary;
Coordinates with various contractors on the approvals for samples of materials, mock-ups etc.
Ensure that outlet receives relevant government approvals on all stages of pre opening and copies are circulated and kept for references;
Conduct site inspection to ensure that operators are following rules and regulations of landlord;
Documents status of construction thru release of progress photos weekly;
As necessary, prepare official correspondences in relation to relevant issues of each projects with various shareholders;
Coordinates with finance and DCEO’s office for release of payments with the submission of invoices and completion certificates;
HOSPITALITY PROJECTS DEPARTMENT
Prepares minutes of meeting as necessary throughout the whole project stage; If needed facilitates travel arrangements and prepares the travel itinerary for various contractors and workers of projects for the completion of an outlet. The travel may involve multiple stops, extended trips and frequent/unanticipated changes for hotel accommodation, airline bookings, ground transportation requirements, meal arrangements and visa assistance coordination which may be required during weekends or at night as deemed necessary. Prepares, assists, coordinates on the documentation and ensure payments for travel arrangements to qualified vendors including liquidation of expenses.
Monitoring the proper implementation of the Contractual obligations of the Third Party Operators
Monitors and ensures the submissions of required documents not limited to security deposits, lease payments, utilities payments, etc.
Conducts regular audit to the outlet’s operations. Ensures adherence to government and landlord’s rules and regulations. Reports any discrepancy to management; Prepares and replies to official correspondences relevant to the daily operational issues of the outlet;
Assist operator with any requirements with facilities management;
Maintains historical record of contractual timeline of outlet by updating milestone’s worksheet;
Prepares minutes of meeting as necessary;
Performs tasks as specified by management
