Key responsibilities
• To support the Protective and Marine Segment to achieve and exceed budgeted Volume turn-over and profit for MEW region.
• To contribute to the efficiency of the overall business by ensuring all assigned administrative duties are carried on timely and efficiently.
• To provide high quality and comprehensive administrative assistance to the sales team as a whole on a daily basis.
Key tasks:
• Performs duties and responsibilities commensurate with assigned functional area.
• Maintains the department’s clerical details and provides secretarial support services to the Regional Sales Manager, National Sales Manager, Sales and Product Management Dept.
• Types variety of documents, letters, memos and faxes.
• Maintains an effective filing system for handling a variety of documents and reports.
• Orders, receives, allocates and distributes the department supplies/materials (promotional materials, gift items, etc.).
• Assists on the preparation and submission of quotations and bid documents of Sales Department
• Handles and generates the Monthly Report and presentation materials.
• Maintains all required registries log for incoming and outgoing faxes and other types of correspondence.
• Opens and distributes mail, inquiries and verification and refer to appropriate person.
• Arranges meetings/appointments per Superior’s request – reserve location, inform attendees, distribute agenda and take the Minutes of the Meeting.
• Attends to business phone calls, sending and receiving of messages by post, by email and hand-carried letters.
• Operates and monitors office equipments such as computer, copier, scanner, electronic typewriter
• Preparing all necessary documents for ISO Audits.
• Doing II sales billing.
• Giving assistance to conduct exhibitions & presentation materials.
• Creating press kits & packets as needed.
• Assisting with the creation and distribution of press releases.
• Assisting with representatives at press & community events.
• Generating story ideas & content for the printed newsletters, twitters & facebook.
• Updating our PCMC website.
• Lead production, print newsletter and serve as liaison between Sales/Regional Sales Manager/Product Manager and design firm.
• Organizing market research.
• Arranging promotional events.
• Communicating with clients/ consultants/ specifiers.
• Scheduling conferences & meetings.
• Maintaining customer & supplier data base.
• Participates in implementation of new outlet plans & existing outlet upgrades.
• Implements marketing ATL/BTL communication/ promotion plan.
• Liaises with local agencies regarding production of communication material.
• Stock keeping for all marketing material in the area.
• Update CRM Tools and IQS for Sales .
• Handle department petty cash.
• Shall adhere to company policy, including procedures related to QMS and EMS.
• Shall perform other related jobs/ tasks as required.

• Delivering of required support and assistance among sales staff on a timely manner along with the high level of accuracy.
• Distribution of marketing communication and promotional materials.
• Proper stock-keeping of marketing materials.
المهارات
Required education, experience and job-related skills
• BSc/BA in business administration or relevant field; certification in Sales or Marketing will be an asset.
• Proven experience as Executive Secretary or similar administrative role.
• Proficient computer skills, Microsoft Office Suite (Word, PowerPoint, Outlook, Excel and Dynamic AX).
