Objective Ensures effective and efficient handling of all administrative activities of the CEO office including communicating and coordinating with internal and external at all levels. Accountabilities · Ensure all administrative activities of the CEO’s office are handled, calls screened and re-directed where necessary in an effective and efficient manner (e.g. correspondence, communications, appointments, weekly schedules, itineraries, co-ordinating complex travel and accommodation arrangements, Reimbursement of Business related expenses etc.) · Ensure strict confidentiality, discretion and professionalism while dealing with delicate Company matters/issues (e.g. communications with government authorities, company personnel, visitors etc.) · Ensure smooth co-ordination of VIP visitors from planning, execution, monitoring and conclusion of the visits to help maintain the reputation and image of the Company. · Manage regular interface with CEO’s & Chairman’s Office to ensure continuous communication for smooth running of operations as directed. · Report work progress to the CEO on a regular basis and keeps him up to date especially with any major issues that require his immediate or continuous attention. · Handle Purchasing of items required for CEO’s office in coordination with Corporate Services Department · Prepare presentations and Ad hoc reports as required · Maintain orderly filing system for all hard and soft copies of documentation of the CEO office. · Prepare emails, faxes, and letters based on the basis of knowledge of subject matter acquired from CEO · Maintain for the CEO up to date manuals, directives, Organization Charts, Presentations; etc. · Participate in meetings as required to issue minutes of meeting and action plan · Perform all other tasks as assigned by the CEO.
المهارات
Requirements · Graduate from a recognised university · Minimum of 5 years of experience in administration preferably as PA/ Executive Secretary to a Senior Management position · Excellent command of English and proficiency in Arabic · Effective communication, effective organization skills, ability to multi task, ability to work under pressure, flexibility.
