Position Summary:
To provide overall administrative and logistical support to HR Services in order to ensure smooth transition and arrival of newly hired candidates.
Scope of Work:
Work closely with internal client departments managing the entire mobilization of their employees & visitors as well as dependents
Provide HR employment and on-boarding information and procedures to candidates
Complete all on-boarding processes including a background investigation, medical and visa processing
Organize system and security access (email, ID Badge etc.)
Arrange appointments and enroll new employees in Pension/Savings and medical benefits. Ensure all documentation is complete and filed
Enroll new candidates in Orientation
Prepare and process Cash Advance forms for new employees
Schedule KAUST Iqama medical for new employees, and dependents
Counsel and coach relocatees on relocation benefits, entitlements, and administration of relocation policy.
Provide information and answer inquiries about policy and procedures
Keep and update candidate files and records during all phases of the relocation process and handover all files to
the HR Services Assistant for record-keeping and maintenance once the candidate arrives on campus
Process and update the information of relocating personnel, visitors, and their eligible dependents on HR systems
Ensure accurate records are maintained for all relocations in line with policy
Coordinate closely with graduate affairs, academic visit coordination team, security, housing/accommodation, and personnel to ensure all people receive the highest level of service
Assist HR Services team in the meet and greet of new employees and provide them with information
Send the New Employee Confirmed Arrival Report to all hiring departments and stakeholders
Similar to New Staff and Student Arrivals, the Relocation Coordinator organizes Staff, Student, Consultant, and Business Visitor Offboarding and final departures processes, requiring similar logistics arrangements to be in place.
Flexible to attend matters outside of regular work hours and weekends.
Attend to the 24 hours Relocation Team meet and greet helpline for urgent matters.
Work with diverse backgrounds and cultures, you have the ability to interpret and communicate HR policies and practices.

Microsoft Office Skills
Strong background in customer service combined with excellent organizational and communication skills (both written and verbal)
Background in travel & logistics
Strong numerical analytical skills and excellent attention to detail
Working knowledge of SAP is an asset.
Proactive problem solver with superior telephone manner
Ability to thrive in a fast-paced, multi-tasking environment.

Qualifications:
Bachelor’s Degree Experience
Minimum 3-5 years of experience in a travel/logistics role
