Job Definition: Contract Assistant is responsible for providing contracting technical support to the Contracting Unit. The Contract Assistant shall carry out all delegated procurement and contracting functions during the various stages of the tendering and procurement process. Work will mainly involve the preparation of bidding documents, evaluation of bids, preparation of contracts, maintenance of a contracts database etc.
Job Responsibilities:
• Prepare / maintain Contracts Database and monitor the renewal of contracts and bidding process and advise Contract Specialists on the actions to be undertaken in a timely manner. • Prepare and maintain contract files for all contracts. • Check SOs for contracts, ensure budgetary clearance and keep track of status.• Receive and manage procurement requisitions and act on all outstanding issues. • Reconcile contracts records and accounts i.e. monitor contract expenditures against budget and contractual ceiling amounts.• Provide input to the procurement planning exercise.• Produce tender documents i.e. RFQs, ITBs and RFP under the guidance of the Contract Specialist.• Carry out bid opening and analysis. This will involve preparation of abstracts of offers, bid analysis and compiling data contained in the bids for consideration for award of contracts.• Prepare contracts in consultation with Contract Specialist. • Prepare or assist with submissions to the Contracts Committee for review. • Prepare reports, minutes of meeting and assist in the compilation of data for the Annual Report.• Perform other duties as assigned.

Minimum Qualification:
• Minimum Diploma or higher degree in either Accounting, economics or material supply chain• 5 years of relevant work experience with a minimum of 2 years in contracting
