Role Description:
The Business Services Co-ordinator will work for the Head of Business Services, undertaking a wide range of departmental co-ordination and administrative tasks such as, but not limited to, those below:
Maintenance, update and communication of project position lists, org charts and job descriptions.
Support requisition raising for material and services purchase.
Co-ordinate and report on open position recruitment activities.
Support and report on missing and approved time.
Coordinate induction activities of all new personnel.
Maintain a leave tracker for personnel.
Coordination of general administration element of project SharePoint.
Advise on implementation of project administration – correspondence drafting, filing, etc.
Assist with recruitment by conducting initial CV screening, liaison with recruitment agencies and sites local and abroad (e.g. Bayt.com), and arranging interviews.
Assist with co-ordination of onboarding and offboarding process through coordinating with HR, IT, Line Managers and admin functions.
Capturing departmental meeting minutes and distribution of actions.
Timetabling and booking of meetings.
Co-ordinating inputs to Departmental reports.
Ensuring full audit trail in place to satisfy internal, and external auditors (KBR or Client).
Qualifications:
Minimum of a High School Diploma (with English).
Formal qualifications or training in administration would be an advantage.
Formal qualifications in MS Office suite of tools would be an advantage.
Have, or be able to obtain, necessary security clearance.
Experience and Skills:
Essential:
A minimum of 7 years’ experience in office administration roles.
Strong general IT skills, awareness and aptitude (including data manipulation in spreadsheets etc.).
Working knowledge of SharePoint and associated tools.
Organised – ability to plan and prioritise work.
Good communication skills in written and spoken English.
A team player, able to operate in a multi-national and multi-disciplinary environment.
Desirable:
Knowledge of the Operation & Maintenance projects, telecommunications industry, and Facilities Management.
