Job Description 2. Sales Administration: Ensuring completion all documentation with respect to enquiry and completed sales transaction. Starting from checking for availability of the parts number or Chassis number from Mantis or Eltis, preparing quotation, customer confirmation, booking sales order, raise an invoice, collection of cash, check for credit limit, coordinating with finance if the credit limit is exceeded and delivery of parts. Ensure reconciliation of cash by the end of day and depositing the same with bank or depositing it with finance with due acceptance. Update daily sales reports. Ensure spare parts, if returned by customers are received after due investigation and verification and attach a copy of the invoice or job card as the case may be. Ensure to prepare sales return order and attach original invoice and update job card for return invoice number. The returned parts are to be sent to inventory and logistics with sales return order and original invoice. 3. Follow-up: To ensure constant follow up with customer for PO. To follow up regarding work in progress with finance and logistics, as applicable for executing the Sales. To follow up on the payment from the customer, as required. 4. Market Intelligence: To keep abreast on market development, competitors projects, etc. To report all market developments to the Reporting Manager, including details on credit defaulters. 5. Customer Relation & Support: Responsible to make telephone calls to current customers for maintaining and further improving business relationship. Handle customer grievances, disputes and provide after sales support. To ensure timely payment collection from customers based on credit agreement. 6. Reports: To submit daily, weekly and monthly reports to the Reporting Manager, if any. 7. Function & Cross-Functional Coordination: Coordinate with Procurement for pricing, special discounts; Finance for credit limit approvals and reconciliation, Inventory & Logistics for delivery and post-delivery documentation and customer for release of payments. 8. Team Member: To be a proactive and responsive team player with the endeavour to seek guidance as and when required from seniors and advise juniors to successful completion of all task. 9. Quality/HSE: Responsible to carryout duties in accordance with procedures and provisions, as mandated in the Quality Management System (QMS) and Health, Safety, Environment Management System (HSEMS), in compliance with the regulatory bodies of UAE. To strive towards achieving continuous improvement and ensure to record the changes by incorporating them in the QMS/HSEMS. Ensure to comply with all requisite procedures and practices to maintain a safe work environment. 10. Continuous Improvement: Ensure complete and updated information of the complete product range by regularly going through the product brochures, manufacturer’s news bulletins, user manuals etc. Having thorough knowledge of the product, specifications and its range of applications. Should also be updated of the competition clearly knowing the products and its competitive edge. Responsible to take care of continuous improvement at a functional and cross-functional level for process, and sub-process improvement. 11.
