The Sales & Bid Assistant is responsible for managing bids in response to Request for Proposals (RFPs) from customers and ensuring compliance with customer requirements while highlighting company value proposition. In this role, you will work with cross functional groups to improve specifications, develop bid strategies, prepare and execute contracts and provide the sales team with government sales support. Also, the sales & bid assistant is responsible for providing administrative and sale support to the Sales team in the process of developing proposals, responding to queries and managing the sales project life cycle. In addition is also responsible for ad hoc procurement of raw material and finished goods.
RESPONSIBILITIES
BID
• Act as the focal point on logistics, ERP/CRM and the e-tender portal
• Identify new tender opportunities on new and/ or existing online procurement platforms.
• Monitor bid market trends such as procurement changes, spending, pricing, specification language, competitive activity, product requirements, etc.
• Support the bidding process and preparing tender information sheets
• Preparing all legal, technical, and financial documents required to construct a bid in cooperation with the BDM/ BDE
• Ensure that bid collateral is updated
• Liaise with clients and obtaining any additional clarifications and further information concerning tenders when required
• Organize and prioritize bid opportunities based on commercial strategy. Communicate and monitor bid activity with key accounts and dealer network.
• Review and prepare bid analysis summary reports, historical trend reports, bid calendars and develop strategic insights from bid dashboards.
• Review and prepare client bid contracts including organizing special requirements such as bonds, certificates, affidavits by networking with other functional departments across the company.
• Prepare pre-and post customer communication both written and verbal, develop contract strategy, lead bid team review, organize the collection of bid tabs and post bid assessment.
• Communicate key bid requirements such as special terms, product configurations, prices, delivery and service obligations, etc.
• Establish and maintain relationships with procurement professionals and dealers for supporting bid activity.• Develop organizational capability by establishing enhanced systems, processes and procedures. Collaborating across functional areas to ensure proper hand-offs and knowledge sharing.
Sales Support
• Request freight quotes from freight forwarders
• Prepare sales quotations and factory orders
• Prepare handover files for the operations team
• Prepare pro-forma invoices for customers upon request • Handle requests for samples and dispatch of marketing materials and other documents to sales agents in various countries
Operational Duties
• Work in collaboration with the Operations team to track readiness of goods with the factory in Pakistan
• Regular contact with the Operations team to follow up on shipping, shipping updates to customers and shipping documents
• Ensure all administrative and operational procedures and policies are adhered to at all times
Follow Up & Compliance.
• Assist in the preparation of monthly sales reports including sales leads, quotations and bids. Confirming orders and payment collection with the BDM/BDE
• Follow up on quotations sent to customers on a weekly basis
• Follow up on payments with the corresponding BDM/ BDE
• Working in collaboration with the operations team to track readiness of goods with the factory in Pakistan.
• Regular contact with the operations team to follow up on shipping, shipping updates to customers and shipping documents.
• Ensure all administrative and operational procedures and policies are adhered to at all times.
Organisational & Filling Duties
• Create and maintain an online and offline structured filing system in line with the BD and sales strategic approach of the territory
• Maintain Sales Team database of activities and update CRM database• Source, register and update new/existing e- tender portals

• Understanding of the commercial, financial and contractual issues related to bids
• Excellent editing and proof reading skills
• Ability to work flexibly to accommodate deadlines and bid submissions
• The ability to remain calm in a deadline driven environment.
• Fluent in English. French and/or Arabic is desirable.
• Proven experience of arranging logistical solutions
• Good administrative and organisational skills with attention to detail
• Good communication skills, both written and verbal
• Strong interpersonal and negotiation skills
• Aptitude in decision making and working with numbers
• Experience with collecting and analysing data
• Excellent time management skills and the ability to prioritise a busy workload
• Proven IT Skills and ability to adapt to new technology
• Strong team player, but equally good at taking initiative.• Confidence to deal with people at all levels of the practice as well as clients
