· Coordinating with the administration/ travel helpdesk by raising the required service request/ PO for visa and stay arrangements for official travel.
· Managing dairies, calendar and itinerary for the partners by keeping track/organizing the mailbox and scheduling/prioritizing the internal/external meetings.
· Providing support on the filling up of timesheets/ Amex Payments and expenses in the respective systems. Additionally raising request on behalf for team members travelling to client location without access to our Network.
· Providing approvals on behalf of Partner/Director related to Converge/Rekonnect/Concur processes or any ad-hoc requests.
· Raise PO for Academic Trainee Payout, Retainers and vendors as applicable.
· Support on MIS and dashboards as appropriate. Follow up on meeting action items and circulate reports.
· Route couriers and other letters to appropriate individuals when required. Administration related coordination for stationary and other related items.
· Vendor creation and SAN procedures.
· Follow up with the team on the status of WIP reports/NFR statement on behalf of the Partner as required.
· Maintain contact list of clients and database of key contacts
· Have a clear understanding of all policies including expense limits, notice period etc.
· Good understanding about time zones, currency conversion, hotels and connects in other offices
· Support on Risk Compliance process on existing/new client engagements as appropriate
· Coordinate for any CSR activities and function level people initiatives
· Support People Champion initiative with logistics and planning
· Basic interactions with clients and their office secretaries
· Network with Secretaries within the larger firm – both India and global
· Help organize birthday celebrations and other team events.
· Providing support during the the onboarding of new partners.
· Participate in identification of potential cost-saving opportunities at team level
