Role Purpose:
The Buyer is responsible for sourcing, designing & developing the best product at the best price within the shortest possible delivery time, in order to fulfil company and business financial objectives. They will work with the Buying Manager to define and communicate the strategy for the section in terms of target customer, design, quality, pricing & sourcing.
Role Details – Key Responsibilities and Accountabilities:
Sourcing
Identifies appropriate sources to buy the best product at the best price for our market / target customer
Defines & delivers the agreed quality standard of product assortment
Range Planning
Ensures that the product assortment reflects the strategy in terms of target customer, pricing and margin.
The range is without gaps & duplication, and the season is logically and commercially thought through.
Ensures that the correct level of newness is present, and that volume lines are maximized and ‘moved on’ at the appropriate time
Stays informed about competitors and market trends and takes appropriate measures to maintain competitive advantage and the position as market leader
Guarantees the pricing structure across formats
Negotiation
Negotiates with suppliers to source the best quality products at the most competitive price
Negotiates with the team best buying conditions respecting the volume concepts
Selects the best offer, prepare bid analysis sheet and recommend which supplier to select
Critical Path Management
Ensures new product is developed, signed off, ordered and delivered on time as per the section critical path
Follows up with vendors daily and track overdue purchase orders
Verifies the quality of stock received from supplier
Assists in resolving any discrepancy in orders
Quality Assurance
Follows all required policies and procedures related to quality assurance of sourced items
Communicates with suppliers on quality related issues and propose areas for improvement to ensure best quality products
Supports the technical QA/Fitting process
Supplier Relations
Identifies profitable suppliers and initiate partnerships
Constantly reviews the supplier strategy, ensuring we obtain a good level of service from suppliers, new suppliers are sourced where necessary and appropriate costs are negotiated
Evaluates the risk of existing and future supply contracts and agreements
Policies and Procedures
Completes all administrative tasks following all required policies and procedures
Contributes to the knowledge of the buying procedures such as product selection, negotiating, pricing, and marketing
Human Capital Responsibilities
Proactively identifies and seek professional development opportunities to improve leadership and technical skills pertaining to the direct line of work
Coaches and develops the section admin support, identifying individual training needs
Applies and follows MAF Retail’s Human Capital corporate policies and relevant procedures and instructions
Provides training and feedback to direct reportees when required
Financial Responsibilities
Sets appropriate control mechanism to ensure budget compliance and takes corrective measures when necessary
Proposes and takes necessary measures towards continuous reduction of the operational costs
Ensures alignment of procedures in accordance with the Delegation of Authority (DOA)
Assists in monitoring allocated budget to ensure compliance and highlight possible issues
Definition of Success
Intake (Front) and Total Commercial Margin %
Speed to market (from concept to product in store)
High full price sell through of own developed product ranges
All relevant product trends are identified and available in store at the right time
Identifying viable sources of supply
Building supplier relationships
Following all relevant policies and procedures

Minimum Qualifications/education
Bachelors’ Degree – Fashion / Fine Arts
Minimum experience
3 to 5 years in Retail Business
Preferred Languages
English (Full professional proficiency - Required)
Skills
In depth buying knowledge and product expertise
Talent in negotiations and networking
Understands how a textile factory operates & has visited key locations e.g. China, Bangladesh, Vietnam, Turkey, etc
The ability to influence and communicate effectively at all levels
Ability to work under pressure and meet deadlines
Highly flexible with the ability to manage several activities simultaneously
Commitment, drive and self-motivation
Shows initiative and is proactive
Strong business communication and presentation skills
Aptitude in decision-making and working with numbers
