Job Description
Key Result Areas:
·Management of overall payables function for the company
·Ensuring accurate booking of invoices and recording of company’s liabilities
·Verifying costing for all trading purchases
·Ensuring that supplier accounts are reconciled and updated regularly
·Ensure that suppliers are paid on time and correctly
Key Deliverables:
Accounts Payable
·Ensuring that the team does timely and accurate booking invoices of all suppliers
·Verify costing sheets prepared by the team and ensure that the costing sheets approved by the concerned managers and the GM / Director are used
·Clarify costings as needed with concerned buying manager in case of discrepancies
·Ensure that the team books invoices correctly to ensure that all payments are correctly processed
·Escalate doubts in payment or mismatch in supporting documents to concerned managers
·Ensure that all supplier claim adjustments or other adjustments are done before payment is made to suppliers
·Ensure that PRO accounts are maintained correctly, that their expenses are correctly tracked and reimbursed promptly
·Evaluate the bank facilities, rates etc. and ensure that payments are made in a manner favorable to the company
·Ensure that all cash and cheque deposits are done on time either directly or through the assigned messengers
·Carry out all bank reconciliations
·Support Accounts Manager and Management with reports and data whenever requested
Other Supervisory Responsibilities - General
·Plan departmental activities, capture performance data and review and analyze data.
·Implement control procedures to minimize performance deviations.
·Provide inputs to the Management regarding various aspects whenever asked for.
·Play an active role in recruitment process by screening resumes and conducting preliminary interviews.
·Induct new employees in to the department by explaining role, responsibilities and key performance indicators.
·Provide on the job training to new members who join the department.
·Conduct performance appraisals for department staff.
·Execute and complete all the instructions given by the Management that is related to the objectives set for the position
·Extend professional support to all other colleagues to the extent possible and maintain cordial and healthy work atmosphere.
·Take responsibility for own personal development in line with agreed annual performance objectives.
·Constantly acquire knowledge and remain abreast with latest technologies & market trends.
·Pro-actively take responsibilities of other team members, colleagues or seniors during their absence.
