Under general supervision, the Tender Officer communicates and coordinates information between the sales manager(s), division and unit manager, medical sales teams, procurement officer, and other personnel within the organization. The Tender Officer will assists with collection and development of information required for each tender to which he / she is assigned. He / she will perform all essential and secondary functions as required by the division. The Tender Officer reports directly to the Tender Manager.
Responsible for daily tender operation activities and ensure that jobs are completed.
Establish and administer Share point site (SPS) for each tender assigned to him / her, includes developing master folder and subfolder structure; upload request for proposal documents; grant appropriate category of access to each tender team member, etc.)
Read and comprehend Request for Proposal (RFP) from Customer and generate summary document defining all requirements in a concise and logical manner.
Assist in for providing clarification to customer with any item(s) that are unclear, ambiguous, or unusual.
Participate actively in divisional meeting.
Plan Tender format (i.e., hard / soft copies), production tasks, resources, and timing.
Provide information to Tender Manager to potential problems in Tender development / production.
Provide mitigating options and costs and determine, in collaboration with Sales Managers, Sales & Key Accounts Managers, Sales Medical Team, etc., the physical format for tender, including cover set, tabs, photos, etc. when consensus is achieved, send out for printing, etc.
In addition, responsible to determine electronic submittal format to provide customer with an well-planned, navigable electronic tender.
Identify and comprehend key Customer drivers from discussions with Sales Managers and management, and to be able to “on-board” both project and technical issues such that the relevant themes and drivers important to the Customer are clearly “sold” in the final tender.
Apprise immediately the Tender Manager concerning missed deadlines, submittal of incomplete information.
Provide specific input to “lessons learned” data base after submittal of each tender.
Participate with tender development of response to clarifications, tender submittal, post-submittal clarifications, etc.
Participates in prospect SWOT (Strengths, Weaknesses, Opportunities, and Threats) analysis, subsequently briefs Tender team members on same.
Attends meetings as necessary, undertakes appropriate Management reporting
Performs other duties as assigned.
المهارات
- BA/BS required preferably in Marketing and/or equivalent combination of education and experience.
- Minimum 3 years experience solid hands-on development of large tenders, preferably to an agency / department at the government level, or to large private-sector organizations such as multinational energy companies assisting in the management of one or more industrial product lines, or 2 years in a sales, marketing, technical support, customer service or other capacity where direct involvement with products and customers was evident.
- Strong interpersonal and communication skills, both verbal and written Must have advanced-level keyboard skills in MS Word and Power Point. Must be willing to learn and work in Risk Dashboard, Sharepoint, and other software packages, as required. Able to work effectively under stress and time pressures, including planned and unplanned extended hours, as required. Demonstrated high degree of initiative, Demonstrated ability to interact with other professionals to gather and disseminate information.
