In this job you will be responsible for project coordination and communication between the client and the company as well as the Team.
Daily tasks:
• Receive a complete briefing and an accurate Data Collection Sheet from Business Development Executive, as an assigned Coordinator to the project
• Coordinates with Installation and Resource Planner concerning assigned Project Manager and scoping
• Receives Scoping Report from designated Project Manager
• Based on received data, prepares a quotation, as per current rate card and approval of the Client Services Manager, in a timely matter and submits it to Business Development
• Receives approved LPO for the job from BD
• Gets formally introduced by the Business Development to the client, together with assigned Project Manager
• Coordinates approved artwork between the Client and Production Team to adjust and fit the applicable dimensions
• Works closely with Creative, Production Team ensuring all samples and artwork are approved by the Client
• Ensures Project Data Collection information received from Project Manager is entered in the system and shared with Project Delivery Team (including delivery notes, sample approvals, artwork, scopes and photos, signed and stamped LPO)
• Coordinates with Finance Team if purchasing is required for Project Delivery
• Prepares detailed and accurate Work Order and shares with Project Delivery Team
• Reconciles current quotation and takes care of obtaining adjusted/updated LPO from the client, if it concerns currently running project
• Prepares invoices, ensuring the necessary documentation is obtained: Signed and stamped LPO, signed delivery notes, photos, certificate of completion (Keeping in mind that no invoice can be issued without a valid LPO)
• Coordinates with the Client and PDT concerning decommissioning of the project
