Job Summary:
The Purchasing Clerk is responsible for all administrative jobs in Purchasing section. He/she is primarily responsible for running a set of system reports, create extract reports, respond to issues as well as conduct daily reconciliations on the purchasing carried out within the chain of operations including but not limited to preparation and issuance of purchase orders, purchase order confirmation and delivery confirmation.
Specific Duties and Responsibilities:
Assists in the purchasing process of materials for AKH through and as such will be required to maintain records and data of all approved vendors and items
Enters purchase orders in operating system
Confirms pricing with suppliers, when appropriate
Confirms delivery expectations
Checks authenticity of provided documentation
Researches prices/supplies of mandated items
Reviews requisitions and purchase orders for the purpose of ensuring completeness and accuracy prior to processing.
General Responsibilities:
Promotes a safe and productive work environment
Provides administrative support to the Purchasing team, in all aspects of their work
Collaborates with other departments for the purpose of documenting the purchases of goods and services
Distributes purchase orders, vendor information, etc for the purpose of providing reference documents for completing purchasing process.
Maintains records of materials, prices, inventories and deliveries, and create a data-status table to compare prices, specifications and delivery dates, thereby establishing credibility of vendors for future dealings and cost efficiency measures
Proactively contacts colleagues and suppliers so they are aware of the status of their orders, particularly if there are problems that need to be resolved
Occasional Responsibilities:
Performs other duties as assigned, or required, by his/her superior/s \
Legal Responsibilities:
Reports any and all discrepancies detected in Purchasing SOP’s
Ensures records are maintained confirming compliancy with all Government regulations and AKH policies regarding storage/safety/sanitation.

At least High School Diploma or GED.
Minimum of one year experience in Purchasing or related discipline.
Strong communication and interpersonal skills
An awareness of safe working practices
Driving skills
