Job Summary:
The primary function of the HR Admin and Government Relations Specialist is to provide support to our HR team in KSA across 3 main aspects; HR related Government Affairs, HR Admin services and facilities management.
The assigned member will be in charge of all labor law related matters, ensuring that our HR related formalities are always complying with KSA Government regulations and employment laws.
Moreover, he will be responsible for providing accurate and timely HR administration support to our KSA employees.
Working closely with the facilities management head, he will provide high level of assistance and on-going support in the execution of our FM processes, ensuring top-of-the-line FM services delivery across our six branches in KSA.
Job Responsibilities:
I. HR Government Affairs
Implement HR Government Affairs’ policy and procedure, keeping abreast of all evolving governmental directions that require modification within the labor law and Jawazat framework
Process and carry out all transactions relating to work permits, profession change, business/employment visas and residency visas/Iqama, including Iqama status, issuance and renewals
Responsible for collating and maintaining visa and Iqama status related information and documents, implementing effective tracking tools for timely visa renewal process as well as developing related data base and periodical reports
Guide and assist employees in renewing visas for their immediate dependents and provide them necessary information regarding visa details and requirement of documents
Act as a liaison between the company and respective government bodies and ministries
Keep abreast of any changes or amendments to the prevailing laws/rules/ regulations, changes in forms and other procedures. Keep the HR management advised of such changes and highlight any potential risk or financial concern
Submit relevant documents periodically to the immigration/labor office with regard to cancelled/absconding employees and delete from the company’s sponsorship list
Complete departure and exit formalities for employees after cancellation of visas
Manage and tackle all government HR related e-service portals; including but not limited to, MUQEEM, GOSI, MOFA, QIWA and the ministry of Human Resources
II. HR Admin Services
Provide any needed support in various admin related human resource services. Ensure a high and consistent standard of HR service delivery to KSA employees
Oversee and process travel-related operations and ensure an on-time delivery of employee’s travel needs including flight reservation, hotel booking, car rental and further travel arrangements required
Arrange temporary accommodation and transportation for new employee (and guests) to fulfil their on-boarding orientation in adherence to company policy
Handle all travel-related complaints and feedback and take appropriate steps to rectify them and improve the services.
Responsible for mail management, receive, sort, and distribute mail as required
III. Facilities Management Support
Oversee the maintenance activities of KSA branches
Administer the facilities in KSA premises i.e. parking area, warehouses, offices, corridors, signage, etc.
Ensure that all offices’ keys are properly maintained.
Control on offices’ security and fire systems and ensure that they are well maintained
Oversee cleaning staff to ensure the cleanliness of the premises

Minimum Requirements:
Diploma or bachelor’s degree in any administration field
5+ years of experience in government affairs, general services and HR administration.
Comprehensive knowledge and understanding of KSA labor laws, governmental bodies direction and related regulations
Well-versed in onboarding foreign labor and handling all relevant requirements (Block visas, work visas, business visa, family affairs, iqama, GOSI, benefits, Taqat, and Saudi Government related portals.)
Must be Saudi national
Skills:
Acceptable level of English in speaking, good level of English in writing
Good level of MS Excel and MS word
Able to work at pace and juggle multiple demands
Very good standard of documentation and reporting
Actively respond to normal and urgent matters
Professional and proactive work ethic.
