General Job Description:
Oversee all fleet and facilities related activities and ensure that fleet is properly managed and all facilities are safe and well-functioning.
Specific Job Description:
Facilities Management:
Administer and maintain the operations of the facilities and offices in all sites, including:
a. Security maintenance & badging offices
b. Supply ordering and restocking of cleaning stuff
c. Handle request related to building and facilities
d. Office and furniture issues
e. Building and tenant relationships, including parking
f. Arrange to install security cameras in all facilities
Manage employee’s accommodation and ensure that accommodation is in a good condition, secure and meeting the health and safety requirements.
Purchase materials and equipment required for maintenance repairs, ensure products and services are purchased cost effectively.
Inspect buildings structures to determine the need for repairs or renovations
Review utilities consumption and strive to minimize costs
Liaise with different govt. institutions (local council, fire brigade, etc.) for the necessary documentations and secure the required certificates.
Ensure that basic facilities are working well enough to continue serving the daily needs liaising with staff, suppliers and clients
Performs and supervises tasks related to installation and maintenance of lighting/electrical, plumbing, preventive building maintenance/building improvements, civil work, environmental, safety for buildings, Offices and Warehouse, Workshop etc.
Prepared monthly facilities maintenance reports
Perform other related tasks as assigned by the Shared Services Manager.

Fleet Management:

Ensure that all vehicles have tracking systems installed and are being properly monitored
Control transfer and movement of vehicles between project locations as required by operations and management
Ensure that all drivers understand and procure the licenses and permits they need to legally drive vehicles
Liaise with the maintenance team to ensure that all vehicles are in working conditions
Maintain regular communication with team regarding vehicle needs and conditions.
Assist team members with proper completion of incident report and follow-up action.
Maintain electronic databases of vehicle for sales, inspections and maintenance of fleet management.
Manage the inventory of spares parts for vehicles, in coordination with the Purchasing Manager, in order to ensure an adequate supply of spare parts
Provide management with monthly reports on vehicle status & usage, fuel issued, servicing, etc.
Other tasks as assigned by the shared services manager.
المهارات
Bachelor Degree in Administration or related field.
3 - 5 years of experience in the same capacity.
Excellent organizational skills with outstanding attention to detail.
Ability to work in a respectful manner with internal team, clients, and outside parties.
Exceptional time management, multi-tasking, and critical thinking skills.
Proven leadership skills in both team and individual environments.
Ability to maintain a high degree of discretion dealing with confidential information.
